Messages

Email students and families, chat in real time, and build audience groups.

Open in Teachopolis

Messages keeps all your conversations with students, parents, and instructors in one place. It has three parts: Emails, Chats, and Groups. A number in the sidebar shows how many are unread.

Watch: message students and families

Emails

Emails: every conversation, newest first.
The Emails inbox listing conversations
  • Search subjects and message text with the search box. Press / to jump to it.
  • Click a conversation to read it and click Reply to answer.
  • Recipients can reply straight from their own email, and their reply lands back in the conversation.

Send an email

The New message form addressed to a group
  1. Click Compose.
  2. Choose Person to write to one student, parent, or instructor, or Audience to write to everyone in a class, course, or group.
  3. Optionally set the Context (general, a course, or a lesson) so it's filed with the right class.
  4. Add a Subject and your message.
  5. Click Send.
  • When writing to a student, tick Notify linked parent(s) to send their parents a copy too.
  • Audience messages go to each person separately, so replies stay private.
  • Attach file adds up to 5 files (10 MB each) to a message to one person. Attachments can't be sent to an audience.

How messages are delivered

Messages always appear in the recipient's inbox in Teachopolis. Depending on your studio's contact preferences, they're also sent by email, and by text message to people who have verified their phone and opted in to texts.

Trash

Select a conversation and choose Move to trash; you can undo for a few seconds. It moves back to Emails if anyone replies. In Trash, choose Restore to Emails or Delete forever. Deleting forever closes the conversation; the other person keeps their copy but can't reply.

Chats

The Chats page with a conversation open

Chats are quick conversations inside the app, like texting without sharing phone numbers. Nobody gets an email when you send one, and a child doesn't need an email address to chat.

  1. Open Chats and click New chat.
  2. Search for a student, parent, or instructor.
  3. Type your message and press Enter. You can attach files too.

Deleting a chat removes it for you only. If either of you sends a new message, the chat comes back starting from that message.

Groups

The Groups page with default and custom groups

Groups are ready-made audiences for announcements.

  • Default groups update automatically: All Students, All Parents/Guardians, and All Instructors.
  • Custom groups are lists you build yourself, for example “Spring recital”. Click Add group, name it, then add students as members. Click Email group to write to everyone in it.

When you can't message someone

Parents can turn off email or chat for their children. If they have, the child's profile tells you, and you can message the parent instead. Children without an email address can still chat.
